The turnover checklist for Austin short-term rental hosts

Austin is one of the busiest short-term rental markets in Texas. Between SXSW in March, Formula 1 in October, ACL across two weekends and UT football every fall, hosts can see back-to-back bookings for weeks. In that environment, a single missed detail can cost a five-star review, and reviews drive everything on Airbnb and Vrbo.

Our turnover crews reset hundreds of rentals a month. This is the checklist they follow, plus the systems that let a turnover finish in a three-hour window without cutting corners.

Before the crew arrives

Great turnovers start with preparation. Keep a locked owner's closet stocked with two full sets of linens per bed, towels, and backup consumables. Share a property guide with photos of how each room should look when staged, including where remotes live and how pillows are arranged. Consistency in the photos means consistency for guests.

The turnover checklist

Arrival and assessment

• Photograph each room as found, before touching anything.
• Check for damage, missing items and anything left behind by guests.
• Start the first load of laundry or bag linens for the linen service.
• Open windows briefly if the space needs airing out.

Kitchen

• Run and empty the dishwasher, then hand wash any remaining dishes.
• Wipe inside the microwave and check the oven and fridge for leftovers.
• Clean counters, backsplash, sink and appliance fronts.
• Restock coffee, tea, dish soap, sponges and paper towels.

Bathrooms

• Scrub toilet, shower, tub and sink, and polish mirrors and fixtures.
• Check drains for hair and clear them.
• Hang fresh towels folded to your standard and restock toilet paper, soap and shampoo.
• Empty trash and replace liners.

Bedrooms and living areas

• Strip beds and remake with fresh linens, checking mattress protectors for stains.
• Dust surfaces and wipe remotes, light switches and door handles.
• Vacuum floors, under beds and sofa cushions.
• Reset decor, pillows and throws to match the staging photos.

Final pass

• Mop hard floors, working toward the exit.
• Take trash and recycling to outdoor bins and set out bins on pickup day.
• Set the thermostat to your guest-ready temperature.
• Photograph every room, lock up and report any issues to the host.

Systems that save time

The fastest turnovers are not rushed. They rely on systems. Syncing your booking calendar to your cleaning team removes the back-and-forth texting that causes missed turnovers. Using a linen service instead of onsite laundry saves an hour or more per turnover and keeps whites whiter. Standardizing towels and sheets across properties means any set fits any bed.

Keep a simple inventory sheet in the owner's closet. When supplies drop below a set level, your crew flags it in the turnover report so you can reorder before you run out during a busy weekend.

Handling problems between guests

Things go wrong. Guests leave stains on white towels, break a wine glass, or leave the property in rough shape after a party. Photos taken on arrival are essential for filing a claim through AirCover or Vrbo within the required window. Report issues to your host the same day, and keep backup items like extra glassware and a spare set of towels on hand so the next guest never notices.

Festival weekend tips

For SXSW, ACL and race weekends, book your cleaning team early. Many Austin cleaning companies stop taking new turnover clients weeks ahead of these events. Consider adding a mid-stay refresh for longer bookings, which guests appreciate and which keeps the property from getting out of hand. And budget a little extra time for turnovers after checkout, because festival guests tend to be tired, sunburned and less tidy than usual.

A consistent, well-documented turnover is the least glamorous part of hosting. It is also the part that guests notice most.
